INTRODUCTION
Thank you for agreeing to participate as a speaker at the FSPHP 2021 Virtual Education Conference & Annual Business Meeting - World Disrupted: Caring for Caregivers in Uncertain Times.  The following information and guidelines will provide you with important information and instructions to prepare your presentation.  This page will be regularly updated.   Updates will be notified via email.


GENERAL INFORMATION

REGISTERATION AND NAME & CREDIENTIALS REVIEW
DUE FEBRUARY 5TH
All presenters will be responsible for their meeting registration fees.  Please know we appreciate your valuable educational contribution to the FSPHP. 

IMPORTANT: When you complete the online registration form, please review and update your first name, last name, designation/degrees, title and company/organization name. Your name, degree’s, title and organization appears on screen during your presentation based on this registration data.

Virtual Space Platform
The FSPHP 2021 Virtual Education Conference & Annual Business Meeting will use the EventMobi platform.  The Virtual Conference Website will be available starting March 1, 2021 for all registered conference attendees. The event will be live and available for access for a minimum of one year after the event.

Presentation Formats
There are two presentation formats for the conference. 

  • Speaker Recording/Technical Assessments to be scheduled February 22 - March 10
    All speakers will be sent a link to sign up for a technical assessment and/or session recording during this window of time.
    • For those that are recording their session, PowerPoint slide decks must be final at this time.  Please plan on your recording sessions to take approximately the same amount of time as your scheduled session (minus 10 minutes since you will set aside 10 minutes for live questions), plus a few minutes for a  a technical assessment .
    • For those that are not pre-recording their session, this will be a brief call to preview your connection and discuss the virtual presentation environment.
  • Webcast Speakers 
    You will be presenting on conference day in what is referred to as the “live/main stage” from a speaker/green room. You will not see attendees on camera. You will have access to a q/a and a chat feed to interact with speakers.  A moderator can assist you with the chat during your presentation. 

You will be provided three links to manage your presentation on conference day:

  • 1) a personal link to enter your speaker green room
  • 2) a link to an Octocue app to advance your slides
  • 3) a link to the q/a and attendee chat. 

Dr. Bundy or Linda Bresnahan will be in the speaker green room to assist you, as well as EventMobi staff.  You are asked to sign on 30 minutes before your session to do a quick AV check, and then you can mute/camera off until a few minutes before go live time.

  • Zoom Speakers  
    You will be presenting via a live ZOOM call environment. Your attendees will be on-camera and have the ability to speak.   EventMobi staff, and an FSPHP moderator will be on the call to assist you. We will aim to mute all microphones to avoid interference, and prompt attendees when you are ready for questions.  There is a live q/a, and chat feature for attendee interaction.
  • Dry RUNS - 2-3 days prior to your presentation date 
    All speakers will be invited to sign up for dry run 2-3 days before your conference presentation. A link will soon be sent to you with date options to sign up for this. We can accommodate your schedule as needed.
  • Live Polls Instructions
    We encourage you to consider utilizing the live poll features in EventMobi. For this, you simply let us know your questions (and multiple-choice response options).  Set up these questions on your slide too.   The attendees respond, and the poll results appear for the audience. 
  • Watch for news about the FSPHP Event-Mobi Virtual Event Site
    The virtual event space will go live in early March for you to preview your photo, bio, and the agenda details as it will appear for attendees. 

DEADLINES

Complete & submit the FSPHP 2021 Virtual Education Conference & Annual Business Meeting Speaker Information & CME Post-test Questions Submission Form

This form will collect the following information for each session:

  • Final session title
  • Description  
    To consist of context, methods, findings and conclusions as well as include and explore the impact of COVID-19 and topics on diversity, equality, and inclusion in relation to the health and well-being of health care professionals.  (Please do not exceed 500 words.)
  • Three Learning Objectives
  • Post-Test Questions
    Post-test questions are required for attendees to complete in order to receive CME credit for participation.  Only sessions that eligible for CME accreditation will require post-test questions.  (3 questions required per 1-hour session. Sessions that are 1.5 hours will require 5 questions to be submitted.)

PowerPoint presentations to be emailed to [email protected] by February 5th.
Virtual planning requires slides earlier in the process. 
Please use the FSPHP 2021 slide template. This template was designed to complement the virtual conference space.


PREPARING FOR YOUR PRESENTATION
We have provided you with a list of tips for your slides, a list of tips for presenting in a virtual environment, and short powerpoint from EventMobi that reviews the process for presenting in a virtual environment.

Slide Presentation Enhancement Recommendations

Please use the FSPHP 2021 Slide Template.

  • The first slide should provide the title of your session along with a list of all presenters with their affiliations
  • The second slide should provide a conflict of interest statement for all presenters
  • Avoid use of logos to allow all the focus on educational content and avoid the appearances of conflict of interest. An exception would be for the introduction of name, and professional affiliation.
  • Avoid use of clipart as image use may require copyright permission. For any images you do use, include reference and copyright permission footnotes.
  • Use easy-to-read fonts such as Arial and Times New Roman
  • Use a font size of 20 or bigger
  • Keep text to a minimum (6-8 lines per slide, no more than 30 words per slide)
  • Write in sentence fragments using key words.
  • Avoid unusual colors and busy backgrounds
  • Limit the use of animations, builds, or effects
  • Avoid embedded videos in your PowerPoint presentation
  • Avoid sound effects and background music
  • Remember to proofread the slides, and to rehearse your slide presentations including a focus on length of time for delivery.
  • Presenter contact information should be included on the last slide, so that attendees may reach you should they have additional questions.

2021 FSPHP POSTER PRESENTER INFORMATION

Optional Poster Video
A 5 to10-minute video summarizing your poster. You may choose to submit your own video or schedule a video recording of your poster presentation with FSPHP conference producers or opt out of submitting a video.
Recordings will occur between
February 22 – March 10th (more info on scheduling this to follow).  
  • Please email [email protected] by Friday, February 12th  to notify her of your choice to schedule your video recording with EventMobi, or whether you will submit it, or opt of including a video as part of your poster.

Live Zoom with Attendees on Thursday, April 8th at 5:00pm – 6:30pm EST: We are pleased to offer a chance for you to engage with attendees during the conference. All poster presenters, whether you have a pre-recorded video or not, have your own  ‘live’ Zoom sessionThis will allow attendees to join with poster presenters during this 90 minute to discuss and answer questions about your poster presentation.

Review of Poster Presentation Specifications:

  • Posters are to be sent as a pdf file to [email protected] by February 15
  • SLIDE TEMPLATE is OPTIONAL:  YOU DO NOT NEED TO USE THE FSPHP SLIDE TEMPLATE.  Please avoid the use of logos on slides.
  • Poster design software is your choice.  You do not have to use PowerPoint.  You may create the poster in your desired program as long as it is submitted as a pdf file.
  • Its recommended that PowerPoint slide size should be the widescreen (16:9 ratio) resolution setting.
  • Use a sans serif font (example: Arial)
  • Maximum file size 10 MB
